Office Manager (Chinese-speaking)
Job Description
1. Office Operations & Administration
· Oversee day-to-day office operations to ensure efficiency, consistency, and compliance with company policies.
· Lead administrative functions across multiple sites, coordinating with HR, Accounting, and other departments to support business operations.
· Develop, implement, and maintain office procedures to streamline processes and improve efficiency.
· Ensure smooth execution and professional arrangement of company events, leadership visits, and customer meetings, reflecting iTechwx’s image and operational excellence.
2. Procurement & Vendor Management
· Manage vendor relationships and procurement activities, ensuring cost-effective and high-quality service delivery.
· Oversee office supply purchases, vendor contracts, and inventory control.
· Negotiate with suppliers to optimize value and ensure compliance with company procurement policies.
3. Facilities & Asset Management
· Oversee the maintenance and management of office facilities, equipment, and assets to ensure a safe and efficient working environment.
· Coordinate with service providers on cleaning, maintenance, and technical support.
· Support office expansion or renovation projects, including space planning and setup for new sites.
4. Travel & Badge Services
· Manage travel arrangements, including transportation, accommodation, and related logistics for employees and visitors.
· Oversee employee access control, including ID badge issuance and renewal.
· Maintain updated records of travel and security compliance.
5. Employee Engagement & Internal Support
· Partner with HR and other departments to organize internal events and engagement activities that reflect iTechwx’s culture and values.
· Support onboarding logistics for new hires (workstations, access, welcome kits, etc.).
· Serve as a trusted point of contact for employees on workplace matters, ensuring a positive employee experience.
Requirements
- Bachelor’s degree in Business Administration, Management, or a related field.
- Fluent in Chinese (English proficiency is a strong plus)
- Minimum 3 years of experience as an Office Manager (or equivalent) in an IT outsourcing or similar company.
- Experience in organizations with 500–1,000 employees.
- Strong organizational and coordination skills, capable of managing multi-site operations.
- Excellent communication, problem-solving, and stakeholder management skills.
- Proficient in Microsoft Office and general workplace technology.
Preferred:
- Experience in multinational or fast-growing environments.
- Demonstrated ability to lead operational improvements and cost optimization initiatives.
Benefits
- Salary at 100% during the probationary period.
- 90% contribution of the gross salary to social insurance.
- An employee who works at night (10 PM – 6 AM) will be paid an additional amount of 30% of the normal salary + PVI insurance + 500,000 VND food allowance.
- 20 days leave (12 days of annual leave and 8 days of sick leave).
- Full work equipment will be provided.
- Annual Health Checkup for employees who have worked for at least 6 months from the date of signing the official labor contract.
